If your question isn't here, call (866) 208-6996 or ask us directly on a discovery call.
What does a virtual assistant from SimplifiVAs actually do?
Your assistant handles the administrative and business-essential work that keeps piling up: inbox and calendar management, invoicing and accounts-receivable follow-up, scheduling and dispatch, customer service and callbacks, quotes and estimates, CRM and data entry, and research or reporting. It's everything that has to happen for the business to run smoothly, but doesn't require you specifically to do it.
Will I have a dedicated assistant, or a shared pool?
One assistant, matched to your business and embedded in how you operate — not a rotating team, and not a shared resource split across several clients. They learn your tools, your customers, and your process the same way any team member would.
Do I get to choose who I work with?
Yes. You review three vetted candidates from the certified pool, each with a voice clip, a personality profile and a résumé, and you interview them yourself before deciding. You're never handed a random placement.
How long until someone is actually working?
After your discovery call, expect about a week to shortlist candidates and interview them, then role-specific training and structured onboarding before they start. Most owners have a productive assistant within days of choosing — not months.
How are your assistants vetted?
We review 300+ résumés every month and run every candidate through a seven-stage screen — background check, English fluency, domain knowledge, skills testing, a live work simulation, an SOP audit, and a manager interview — plus a behavioral evaluation. Only the top 6% make it into the certified pool you choose from.
Am I locked into a contract?
No. There's no long-term contract — it's month to month, and we mean it when we say we earn your business daily. If it's not working for you, you're never stuck.
How does pricing work?
Pricing is upfront and given to you plainly on the discovery call — no hidden fees, and you pay for the support you actually use. A deposit secures your chosen candidate while their training completes, and from there it's a transparent monthly arrangement.
What if the match isn't right?
Tell your dedicated US-based account manager and they'll handle it. The whole process is built around catching a mismatch early — that's exactly what the 14-day review is designed to do, well before it becomes a bigger problem.
Do I need SOPs written before I start?
No — most owners don't have them, and that's completely normal. Part of what your assistant does early on is help document how you already work, so the process that's been living in your head ends up written down where anyone can follow it.
How involved do I have to be?
You'll be most involved in week one, showing your assistant how things work and answering questions. After that it drops off sharply, with structured check-ins at 14 days, 90 days, and then annually to keep things on track.
What tools does my assistant work in?
Whatever you already use. Your assistant is trained on your specific software — scheduling, invoicing, CRM, email — during onboarding, rather than asking you to adopt something new just to work with them.
How do we communicate day to day?
However works best for you — email, phone, text, or whatever platform your business already runs on. Your account manager sets that up during onboarding so it fits your workflow instead of the other way around.
The Delegation Guide
What to hand off first, and how to make it stick.
Most owners don't fail at delegating because they hired the wrong person — they fail because nobody showed them how to hand work off well. This guide starts with what to delegate first: the recurring, rule-based work eating your week, like inbox triage, scheduling and invoicing, rather than the judgment calls that still need you. From there it walks through writing an SOP someone can actually follow — specific enough to execute, short enough to actually get read — and how to give feedback that sticks instead of feedback that just gets absorbed and forgotten.
It also covers the mistakes that quietly undo the whole thing: taking a task back the first time it's done differently than you'd do it, skipping the check-in that would have caught a small gap before it became a big one, and never writing anything down because it feels faster to just do it yourself.
